VRF Maintenance Checklist
What should be inspected, cleaned, and tested during a professional VRF maintenance visit. Use this to hold your service provider accountable.
Not all VRF maintenance visits are created equal. A technician who changes filters and leaves is not performing maintenance. This checklist reflects what a proper, factory-spec VRF maintenance visit should include—consistent with the scope defined in ASHRAE Standard 180: Standard Practice for the Inspection and Maintenance of Commercial Building HVAC Systems.
Outdoor Unit
- Condenser coil cleaning with chemical treatment and proper rinse direction
- Condenser fan motor inspection (bearings, blade condition, amp draw)
- Compressor amp draw measurement and comparison to nameplate
- Compressor vibration check for bearing wear indicators
- Refrigerant pressure and temperature readings (suction, discharge, liquid)
- Subcooling and superheat calculations to verify charge
- Inverter board thermal scan for hot spots
- Electrical connection torque verification on all terminals
- Control board visual inspection for capacitor swelling or burn marks
- Communication bus voltage and signal integrity test
- Outdoor unit cabinet inspection (corrosion, panel integrity, critter intrusion)
- Drain pan and base pan inspection and clearing
Indoor Units (Each Unit)
- Filter cleaning or replacement
- Indoor coil inspection and cleaning if needed
- Drain pan inspection and condensate line clearing
- Electronic expansion valve (EEV) operation test
- Fan motor operation check (speed, noise, vibration)
- Return air temperature sensor verification
- Remote controller function check
- Airflow direction and louver operation verification
System-Wide
- Error history download and trend review
- Runtime hour logging
- Control system firmware version check
- Schedule and setpoint verification against building requirements
- BMS communication verification (if integrated)
- Written condition report with findings and recommendations
